🚀 Getting Started

How do I add a transaction?
Tap the + button on the home screen. Enter the amount, select a category, choose an account, and optionally add a note or description. Tap Save when done.
How do I create categories?
Go to Categories from the home screen. Tap the + button to create a new category. You can choose an icon, color, and create subcategories for better organization.
How do I add accounts?
Go to Accounts from the home screen. Tap the + button to create a new account. Set the account name, group (Cash, Bank, or Card), and optional initial balance.

🧾 Managing Transactions

How do I edit a transaction?
Tap on any transaction in the list to open it. Make your changes and tap Save. The app will automatically scroll to show the updated transaction.
How do I delete a transaction?
On the Daily tab, swipe left on a transaction and tap Delete. Or open the transaction and tap the Delete button.
How do I group transactions?
On the Expenses screen Daily tab, tap the sort icon in the top bar to toggle between chronological view (time-based) and category view (grouped by category). Your preference is saved.
How does note autocomplete work?
When entering notes, the app suggests previously used notes for the selected categories. Long-press any suggestion to hide it from future suggestions. Hidden notes can be manually re-entered and will automatically unhide.
How do I attach receipts?
When adding or editing a transaction, scroll to the Attachments section. You can attach photos from your camera or gallery, and other files.
What are recurring transactions?
Recurring transactions automatically repeat on a schedule (daily, weekly, monthly, or yearly). Create them from More > Recurring Transactions, or tap “Make Recurring” when adding a transaction.

🗂️ Categories & Organization

What are subcategories?
Subcategories help you organize expenses more granularly. For example, under “Food” you might have “Groceries” and “Restaurants” as subcategories.
How do I reorder categories?
In the Categories screen, tap the edit icon, then drag categories up or down using the handles to reorder them.
How do I sort categories alphabetically?
In the Configs screen, tap Edit mode, then tap the A-Z sort icon. This automatically sorts all categories and subcategories alphabetically.
How do I merge categories?
In Configs, enter edit mode and tap the merge icon. Select 2 or more categories to merge, then choose to merge into an existing category or create a new one. All transactions and subcategories will be automatically updated. This is perfect for consolidating duplicate or similar categories.
Can I use multiple categories for one transaction?
Yes! When adding a transaction, you can select multiple categories. This is useful for splitting expenses across different budget areas.

🔍 Filtering & Search

How do I filter transactions?
Tap the filter icon on the Expenses screen. You can filter by categories, accounts, and date ranges to focus on specific transactions. Active filters are indicated by a red dot on the filter icon.
What is the “All time” view?
When you apply category or account filters without a date range, the app automatically shows “All time” and displays all matching transactions regardless of date. This is perfect for viewing all transactions in a specific category. Clear filters to return to normal date navigation.
How do I search for transactions?
Tap the search icon on the Expenses screen to search across all transactions. You can search by amount, notes, descriptions, or any text in your transactions.

💾 Backup & Data

How do I backup my data?
Go to More > Data Management. Tap “Create Backup” to generate a backup file. Save this file to your preferred location (cloud storage, email, etc.).
How do I restore from backup?
Go to More > Data Management. Tap “Restore from Backup” and select your backup file. The app will show you what’s in the backup before restoring. Warning: this replaces all current data!
How do I export my data?
Go to More > Data Management. Tap “Export Data” and choose CSV or Excel format. The export includes all transactions with full details.
Is my data safe?
All your data is stored locally on your device. Nothing is sent to external servers. Use device-level security (lock screen, encryption) to protect your data.

⚙️ Settings & Customization

How do I change the currency?
Go to More > Main Currency. Select your preferred currency symbol and decimal places. This affects how amounts are displayed throughout the app.
Can I set a default account?
When adding a transaction, the last account you used will be remembered. You can change it for each transaction as needed.

🛠️ Troubleshooting

My transactions disappeared!
Check if you have active filters applied (look for the red dot on the filter icon). Clear all filters to see all transactions. Also check which tab you’re on (Daily/Monthly/Calendar) and the selected date range.
Filters stopped working after restoring backup
The app automatically clears invalid filters after a restore. This happens when the restored database has different categories than your previous filters. Simply reapply your filters.
I can’t see my backup file when restoring
Make sure the backup file is accessible on your device. The file picker should show all files — try looking in Downloads or your cloud storage app.
Categories are not showing in order
Go to Configs, enter edit mode, and either drag categories to reorder them manually, or tap the A-Z sort icon to sort them alphabetically.
I only see a few transactions when filtering
When using category or account filters, make sure you’re in “All time” mode (shown in the date selector) to see all matching transactions. If a date range is set, only transactions in that range will show.

💡 Tips & Best Practices

Organize with subcategories
Use parent categories for broad types (Food, Transport) and subcategories for specific items (Groceries, Gas). This helps with detailed budgeting.
Clean up duplicate categories
If you have similar or duplicate categories, use the merge feature to consolidate them. This keeps your category list clean and all historical transactions will be automatically updated.
Use filters for insights
Apply category filters and use “All time” view to see all transactions for a specific category across your entire history. Great for tracking specific expenses or income sources.
Regular backups
Create backups regularly (weekly or monthly) and store them safely. This protects against device loss or app issues.
Add notes and receipts
Adding notes and receipt photos helps you remember transaction details later, especially useful for taxes or expense reports. Use note autocomplete to save time on recurring notes.
Use recurring transactions
Set up recurring transactions for regular expenses like rent, subscriptions, or salary. They’ll be created automatically on schedule.

Data Storage

Spend Tracker stores all your financial data locally on your device. Your transactions, accounts, categories, notes, and attachments remain private and under your complete control. This financial data is NEVER transmitted to any external servers.

However, for app improvement purposes, we collect limited technical information (errors and performance metrics) as described in the “Error Reporting and Performance Monitoring” section below.

Your Financial Data Stays Private

We do not collect, transmit, or have access to your personal financial information:

Data Security

Your data is stored in a local SQLite database on your device. The security of this data depends on your device’s security measures, such as device lock, encryption, and access controls. We recommend using device-level security features to protect your data.

Backup and Export

You have full control over your data through our backup and export features:

When you share backups or exports, you are responsible for the security of these files.

Attachments and Photos

Receipt photos and file attachments you add to transactions are stored locally on your device. These files are not transmitted or uploaded to any external servers. They are included in database backups if you choose to create one.

Error Reporting and Performance Monitoring

To improve app stability and performance, Spend Tracker collects limited technical information when errors occur:

Third-Party Services

Spend Tracker uses monitoring services for error tracking and performance analysis. We do not use any third-party analytics, advertising, or data collection services beyond what is necessary for app stability and improvement.

The app can operate offline, but an internet connection is required to send error reports and fetch configuration updates.

Children’s Privacy

Spend Tracker does not knowingly collect any information from anyone, including children under the age of 13. Since all data is stored locally, there is no data collection mechanism in place.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected in the app with an updated “Last updated” date. We encourage you to review this policy periodically.

Data Controller Information

For the purpose of data protection law, the data controller responsible for processing error and performance data is the developer of Spend Tracker.

Your financial data (transactions, accounts, etc.) is stored exclusively on your device and is not processed by us or any third party.

Legal Basis for Processing

We process error and performance data based on our legitimate interest (Article 6(1)(f) GDPR) in:

You have the right to object to this processing at any time by disabling error reporting in the app settings.

Your financial data is never transferred as it remains exclusively on your device.

Opt-Out of Error Reporting

You can disable error and performance monitoring at any time through the app settings. When disabled, no technical data will be collected or transmitted. The app will continue to function normally with all features available.
